Job Description

The Operations Administrative Assistant provides overall support to administrative staff. Maintains inventory and tracking of supplies, stimuli and promotional items. Plans and coordinates events and projects including but not limited to research, rental, entertainment, meals, gifts and giveaways, promotional items, set up and cleanup. Weekly reviews Patient Verification Form (PVF)  reporting and provides follow up to ensure receipt of parent signed documents.

Responsibilities

Clinical:

  • Stimuli purchasing, inventory tracking, dispersing and weekly reporting
  • Create and maintain training binders (new hire, BIS, parent training, etc.)
  • New employee gift ordering, inventory tracking and dispersing
  • CVAP flyer, literature etc. ordering, inventory tracking and dispersing
  • Acquiring vendor licenses and insurance documents
  • Monitor Center Coordinator responsibilities outlined in the center coordinator manual and on monthly task list    

Office Admin:

  • Admin office and clinical facilities maintenance
  • Office supply ordering and inventory tracking
  • Janitorial supply ordering and inventory tracking
  • Stationary (ex. business cards and envelopes) ordering and inventory tracking
  • Coordination of general maintenance / handyman
  • Assists the Safety, Purchasing and Facilities Supervisor in acquiring bids and coordinating vendor appointments
  • Scanning of clinical documents
  • Will be the second responder when the burglar and/or fire alarm is triggered
  • Arranging meals and special requests    

Planning and Coordination of Events and Special Projects:


  • Administrative and clinical group activities
  • All staff events, competitions, conferences, job fairs, and meetings
  • Walk for Autism, Light It Up Blue, Employee Appreciation and other industry events
  • Promo purchasing, inventory tracking and dispersing
  • Gifts and giveaways

Other Duties as Assigned:

  • Assists Safety, Purchasing and Facilities Supervisor and other administrative staff members with projects and support  
  • Completes training, develops schedule and monitors daily work/tasks of General Assistant  

Qualifications

Education & Experience

  • High School Diploma or GED equivalent - Required     
  • 2-3 years administrative position experience - Preferred
  • 2 years ABA clinical industry experience - Preferred
Skills & Knowledge
  • Proficiency in Excel and Word - Required
  • Strong verbal and written communications skills - Required
  • Effective interpersonal communication skills - Required
  • Demonstration of high commitment to excellent customer services - Required
  • Demonstrated flexibility in a varying work environment due to re-prioritization - Required
  • Commitment to functioning as a team player - Required
  • Ability to train, influence and motivate team members - Preferred
  • Must have the highest ethical standards who employs tact and discretion, and is motivated, self-directed, confident, self-starter and ability to work under tight time-frames - Required
  • Ability to monitor inventory levels and tracking - Required
  • Ability to track budget expenses - Required
