Job Description

Under minimal supervision, responsible for coordination, accuracy, timeliness, approvals and entry of customer orders into G3 manufacturing systems, to ensure customer satisfaction.  Responsible for providing support to the Customer Service Department.

Responsibilities

  • Performs consistent and accurate collection of data required for customer orders.
  • Supports all customer or plant tours and visits to include scheduling meeting rooms, providing hospitality(food and beverage), car service, and follow up with customer to ensure satisfactory experience.
  • Greets clients and visitors at front desk and routes/directs them appropriately.
  • Maintains sample inventory, pulls samples and mails to customers as requested.
  • Performs clerical duties including but not limited to: order entry, tracking  shipments, maintaining customer files, and filing.
  • Provides professional, efficient and effective customer interactions (emails, incoming and outgoing phone calls, follow-up communications, responding to requests for
  • information, etc.).
  • Answers incoming calls and routes/directs them to the appropriate contacts.
  • Builds and maintains effective relationships with co-workers.
  • Supports the completion of special projects as needed.
  • Understands, documents and communicates customer requirements and specifications including quantity, quality, schedule and delivery and any other critical information to customers.
  • Responsible for handling all customer service online inquiries.
  • Maintains Standard Operating Procedures, department templates, shared drive files, running queries/reports, etc.,  for customer service department.
  • Participates in maintaining the aesthetics of the front office and customer areas.
  • Maintains satisfactory attendance, to include timeliness. 
  • Responsible for understanding and complying with applicable quality, environmental and safety regulatory considerations.  If accountable for the work of others, responsible for ensuring their understanding and compliance.

Qualifications

MINIMUM QUALIFICATIONS

  • High School Diploma or State-issued equivalency certificate.
  • Bachelor’s degree; or Associate’s degree plus 1 year of customer service or administrative assistant experience; or 3 years of clerical or administrative assistant experience reflecting increasing levels of responsibility.
  • Skilled in reading, comprehending, interpreting and executing simple instructions, short correspondence and memos.
  • Skilled in writing simple correspondence.
  • Skilled in adding, subtracting, multiplying and dividing using whole numbers.

PREFERRED QUALIFICATIONS

  • Bachelor’s degree plus 3 year of clerical or administrative assistant experience reflecting increasing levels of responsibility.
  • Prior work experience including customer service, order entry or logistics preferred.
  • Strong oral and written communication skills.
  • Skilled in Microsoft Office Software.
  • Experience maintaining professional and cooperative relationships with internal and external customers.
  • Experience performing under heavy demands with low error ratio.
  • Experience performing detail oriented tasks; recognizing and correcting discrepancies.
  • Experienced in multi-tasking.
  • Discretion when handling confidential information required.
  • Customer driven.
  • Team player.
